Gatesburg Historical Committee

Meeting – March 9, 2009

Minutes

 

1.                Attendees:

 

Jim Harpster, Denny Moore, Dave Huebner, Jerilynn Shumacher, Jeanne Siphron, Jenny Barto, Diane Snyder, Anna Margaret Peters, Maria Rhodes, Ken Vasko, Dan Rhodes and Randy Barger were in attendance.

 

2.                Minutes

 

The minutes from the previous have not yet been prepared and thus were not available for review. 

 

3.                New  Business

 

Jerilynn suggested that since there are only 9 bi-weekly meetings between now and the event, then all subcommittees should meet on the off weeks of the meetings.  The committee agreed.

 

4.                Budget/Time Line Report

 

Ken prepared for the committee’s review a new budget and time line.  The time line provided in great detail such items as tasks, start and end dates, etc.  Denny strongly suggested that work begin in earnest on this project.  Such things as actual design, i.e. layout vertical verses horizontally, more bricks, placement, be discussed.

 

The consensus of the committee was that Steve Miska be asked to attend a meeting so further discussion could ensue on this project. 

 

5.                Mailer/Advertising

 

The first mailer was printed and sent out on March 7, 2009.

 

6.                Time Line

 

An extensive review was done on the time line that Ken had presented.  A number of dates had been shown.  There still needs work to be done on this time line.  Ken will continue to do so based on information provided to him either thru committee contacts or during the meetings.

 

7.                Committee Volunteers

 

Several committee members expressed a desire to have t-shirts made available to those who will be staffing the event both days.  Maria will look into availability, pricing, etc. and report back at the next meeting with her findings.

 

8.                Old Business

 

a.      Military Memorial

 

Nothing new to report.

 

b.      Photo Committee/Booklet

 

April 1, 2009 has been set as the deadline to submit all photos and articles.

 

c.      Guest Book

 

Nothing new to report.

 

d.     Township

 

Nothing new to report.

 

e.      Parade

 

The committee asked that all township permits be acquired by April 15, 2009. 

 

f.       Picnic

 

The menu was tentatively set for Friday as: hot dogs, chips and cookies.  For Saturday the menu will be Berkley’s bean soup, pig roast, rolls, bbq sauce,  sweet corn , cole slaw, cookies and refreshments for both dates. Randy will contact Holsom for the rolls, bbq sauce, plates, cup, utensils, etc.  Randy and Dave Huebner will continue working on this project.. 

Dave Heubner suggested having sweet rolls, coffee, etc. for Saturday morning

 

g.      Military Reenactment Camp

 

Dan reported that Joan Brown is interested in doing a Revolutionary enactment.  Danny told her to contact Ernie Harpster.

 

h.     Black Smith

 

Nothing new to report.

 

i.       Cook Book

 

Jerilynn asked if a contract exists with the company to print the cookbooks. The committee set April 15 as the last day to submit a recipe to Dorothy Johnson or the committee.  Diane Snyder and Connie Moore will continue to assist Dorothy Johnson in this matter.

 

j.       Pottery

k.     Charcoal Making

l.       Fire Works

 

Nothing new to report

 

m.` Financial Report

 

Ken again reviewed with the committee some budget issues.  There basically is no change from the last meeting.  He will continue to narrow down to precise budget information as it becomes available.

 

9.                Next Meeting Schedule/Adjournment

 

Meeting was adjourned at 9:00.  Next meeting is scheduled for March 16, 2009 at 7:00
