Gatesburg Historical Committee
Meeting – June 29, 2009

2. Minutes from Previous Meeting
The minutes were read by Maria and the committee approved as read.
3. Budget Review/Financial Report
Ken reviewed with the committee an up-to-date budget. A copy of the budget will be made a part of the minutes.
4. Time Line Review
Ken asked if we should a time line for the period July to August. The committee discussed it and thought a time line should be started about 2 to 3 weeks prior to the event.
5. Committee Reports:
a. Military Memorial
Ernie reported that the plaque dimensions have stayed the same. Ernie reported he has between 900 and 1,000 brick. No proof has yet been made available for review. Ernie will check with the engraver.
b. Photo Committee/Booklet
362 photos and 144 pages. Ken and Jerry provided some samples for the cover sheet for inside the book.
c. Guest Book
Ernie has provided soldering irons to Diane to engrave the guest book.
d. Township
Ernie reported the 20’ x 60’ tent will be erected either Wednesday or Thursday. Danny will verify on permitting for the tent at the Township.
e. Parade
Denny sent 56 invitations to prospective participants for the parade and asked they be returned by July 6. Lee Pressler is bringing a tractor and a truck with a 6 x 6 troop squad vehicle to sit besides the memorial. It was suggested that the speakers stand in the back of the vehicle for their speaking engagements.
f. Picnic
Buck Gates inquired, on behalf of Barry Henninger, to bring a soft ice cream truck. Jim Harpster suggested charging $25.00 for rent. After further discussion it was agreed. Buck will contact Mr. Henninger.
Ernie reported the creamy will give us bulk shaved ice between 7:00 am and 8:00 a.m. on Friday and Saturday.
g. Military Reenactment
Civil War Re-enactors
Dick Koontz and Ernie visited the site on the upper portion of the field and Mr. Kootz agreed that would be fine to stage the encampment.
Revolutionary War Re-enactors
Joan Brown reiterated they will be a few people staging a reenactment camp.
h. Black Smith/Shingle Mill
Joe Fye and Denny Moore will be getting out the shingle mill in a couple weeks.
i. Cook Book
Nothing new to report.
j. Charcoal Making/Iron Ore
Ernie reported a supply of iron ore has been made available to melt it down.
k. Mailer/Advertising
Maria reported she has placed pamphlets at various places in the township. She will contact Keith for a price to print approximately 5,000 brochures to make available for the People’s Choice Festival and Warriors Mark carnival.
l. T-Shirts
Nothing new to report.
m. Public Safety and Health
Nothing new to report.
n. Yard Sale/Crafters
Jerry reported we have 18 booths. A total of 25 booth space will be available.
The auctioneer will be here on Saturday, August 8, 2009 to auction several items to 6:00 p.m.
o. Children Activities
Patty reported that the blow up balloon is $275.00 for 5 hours. Buck reported the Army National Guard could have available for our event a rock climbing wall.
p. Wooden Nickel
Ken ordered 500 wooden nickels and a stamp for the meal tickets. Ken showed the design of it. After some discussion it was decided to increase the order to 750. Ken will check with the company.
q. Entertainment
Ernie verified all of the entertainment is finalized.
The next photo/book committee will be held on Tuesday, June 30, 2009. The next regular meeting will be held on Monday, July 6, 2009.
